1. Overview
Top Study Language Learning ("Top Study", "we", "our") is a language-travel agency that books courses and accommodation at partner language schools worldwide. This policy describes how payments, cancellations and refunds are handled for bookings made through our website, consultants or partners.
2. Order confirmation
After you submit a booking request and payment is received, we share the details with the selected partner school, issue an enrolment confirmation and accommodation assignment where applicable, and send you the booking summary by email.
3. Cooling-off period
You may cancel within 14 days of booking confirmation and receive a full refund of Top Study service fees, provided the course has not yet started and visa documents (e.g. I-20, CAS, acceptance letter) have not been issued by the school.
4. Cancellation after the cooling-off period
After the 14-day window, cancellations are subject to the partner school's published refund schedule. Typical terms include:
- More than 30 days before course start — full refund minus administration and visa document fees.
- 15–30 days before course start — 50% refund of tuition, 100% of unused accommodation.
- 0–14 days before course start — accommodation only, tuition non-refundable.
- After course start — no tuition refund; unused weeks of accommodation refundable on a pro-rata basis.
Exact figures depend on each school's contract. The refund schedule applicable to your booking is shown on your quote and the school's offer letter.
5. Visa refusal
If a student visa is refused, we refund the full amount paid to the school upon receipt of the official refusal letter. Top Study service fees and non-refundable courier / SEVIS / application fees paid to third parties are retained.
6. How to request a refund
Send a written cancellation notice to [email protected] including your booking reference, reason for cancellation, and supporting documentation (visa refusal letter, medical report, etc. where applicable). Refunds are processed within 30 business days to the original payment method.
7. Chargebacks and disputes
Please contact us before opening a chargeback — most disputes are resolved faster by email. If a chargeback is filed in breach of this policy, we reserve the right to recover the disputed amount through our payment processor.
